How it works

Connect Email to IotaBot in three steps

  1. 1

    Forward your support address

Add a forwarding rule in Gmail, Outlook, Zoho or your mail host. IotaBot confirms it for you.

  2. 2

    Verify your sending domain

Add a few DNS records once, and replies go out from your own address instead of a relay.

  3. 3

    Work tickets from one inbox

New emails open tickets automatically; replies thread onto them, however long the customer takes.

Use cases

Email use cases for every team

Email is still where the detailed, high-stakes questions arrive. Give them the same structure as your chat.

Customer support

  • Shared support inbox

The whole team works one queue instead of forwarding threads and asking “did anyone reply?”.

  • Automatic ticket acknowledgement

Customers get an instant “we’ve received your request” email with their ticket number.

  • Statuses, priorities and SLAs

Every email becomes a ticket with an owner, status and priority, so nothing slips.

Sales & lead generation

  • A separate sales@ inbox

Forward several addresses to one website and filter the inbox by mailbox.

  • Replies from the right address

    A sales@ thread is answered from sales@, a support@ thread from support@.

  • Quotes with attachments

Send and receive files on the thread, so proposals and invoices stay with the conversation.

Operations

  • Returns and warranty claims

Customers email photos and receipts; the files stay attached to the ticket for whoever picks it up.

  • One customer history

Email sits in the same inbox as chat, WhatsApp and Instagram, so agents see the full picture.

  • Closed means closed

A reply to a resolved ticket opens a fresh one, so your metrics stay honest.

One inbox for every channel

Email, WhatsApp, Instagram and web chat are handled by the same team, in the same place.

FAQ

Email integration: frequently asked questions

How does email get into IotaBot?

You forward your support address to a unique IotaBot inbound address. Each new email becomes a conversation and a ticket.

Will customers see replies from IotaBot’s address?

No. Once you verify your sending domain with a few DNS records, replies go out from your own address, such as support@yourcompany.com.

Does the AI reply to emails automatically?

Email is handled by your team. IotaBot automatically creates the ticket and sends the customer an acknowledgement with the ticket number; your agents write the replies.

Can I connect more than one inbox?

Yes. Several addresses on the same domain — support@, sales@ and so on — can forward to one website, and each thread is answered from the address it came to.

Can I use a Gmail or Outlook.com address?

Outbound replies need a domain you own, so a bare @gmail.com address can receive but not send. Google Workspace or Microsoft 365 on your own domain works fully.
